The challenge
Given BFML partners with organisations across many sectors, they needed to distribute hundreds of policies and other key documents to their staff – over 300 in total.
Historically, a spreadsheet was used. However, this created a huge challenge when assigning and sending documents to new starters. Not only was it an administrative burden, but prone to errors and omissions.
In addition, there was the issue of assigning and distributing updated versions whenever the documents changed.

Skillcast's Policy Hub enabled BFML to automatically assign documents to staff, while the built-in attestation feature allowed them to consolidate existing reporting.
With the help of a dedicated Skillcast customer success manager, BMFL could also distribute updates of important documents to specific audiences, including notices, key elements for onsite work and employee handbooks. Additionally, completions were reported in real time for new and existing staff.
The outcomes
The Skillcast Policy Hub helped BFML maintain its compliance levels. By automating a previously manual process across more than 300 documents, they also saved a huge amount of staff time.
Alongside that, the tool helped automate document issuance, a key element of BFML’s compliance, risk and governance management.
By using Policy Hub to maintain and manage documents, they saved around 390 working hours a year (equivalent to one day per week).
